1. Accessing the Group Administrator Page
Go to www.FamilyTreeDNA.com. Log on in the box labeled MY FTDNA. Enter your Group Administrator ID into the field labeled Kit Number, and then your Password. Click submit and it will take you to the your FTDNA personal page. As a Group Administrator this page will also give you access to the GAP.
Once you are in the FTDNA personal page you will see several menu selections and among them Update and Manage.

Update: On your first visit, click Update and check your personal Group Administrator information. Enter any corrections, and click Update, which will return you to the personal page. The page shows the address which will be used if multiple kits are ordered for re-distribution. It is very important that you keep this page updated, including your current e-mail, because this is how you get updates and requests from people that want to join your project.

Manage: to go to the Group Administrator Page (GAP) which has your Project Management Tools.
2. The Group Administrator Page (GAP) with Project Management Tools
Each of the selections on the GAP are described below:

Project Profile: This selection enables you to set the surnames for your project, add a URL for a web site, and provide a project description. Remember to keep it current, since this is what visitors to our web site will be directed when they go to the Surname Project page and click on your project name. Also, try to start the description with names, dates and places that are peculiar to your project.

Send: This enables you to send a person a message with the link and code to join the project and purchase his DNA test.

Member: Displays all the members of your Project for whom a kit has been ordered. From this page, click on a members name to modify their member information in the future. The Member page is described below in detail in item number 3.

Add a new member: Use this tool to enter an order for a new member. When you enter the order, you will also be entering their member information. When you use this selection, the test kit will be sent directly to the new member. You have several choices regarding payment for the test kit. You can specify credit card or invoice for payment. For the credit card payment option, you can enter your credit card or a third party credit card of either the
member or a sponsor. The invoice selection results in an invoice being placed in the kit and the member will return the kit with payment. If a third party is paying for the test using an invoice, enter the member for the kit, and in the billing information, enter this third party to receive the invoice.

Order multiple kits: Use this tool to have multiple test kits sent to you for you to distribute.

Pending Shipment to the Lab: This selection enables you to track kits and shows you the kits that are currently residing at FamilyTreeDNA. When a kit is returned to FamilyTreeDNA, you will be notified by email. The kit resides at FamilyTreeDNA until a batch is accumulated to be shipped to the lab. Kit batches are shipped to the lab every two weeks.

Unreceived Lab Results: This selection tells you which kits are at the lab.

Received Lab Results: This selection tells you which kits have been processed by the lab and the members results are available for viewing at our site.

Generate: This selection displays the lab results for your members in a format you can copy and paste for web pages and reports.

Unique: This tool analyzes your members, and displays the unique Haplotypes with a count for each.

Family Project Website Setup: This link allows you to have a free public page for your DNA Project. It's a page where you can post all the results,
anonymously or not, as well as a detailed description, progress and goals for the project
3. The Member Page
The Member page is a selection on the Group Administrator
Page (GAP). The Member Page has a variety of selections available to make managing your project easy. You wouldn't start to see these selections until you enter your first order. The information on this page is filled in automatically during different steps in the process, starting with the kit order.
When you place a kit order, a kit number is assigned at the time of the order. When you complete your kit order by clicking confirm, the new Member will show up on the Member page with their kit number, and their name. The column titled Release will say No, indicating that there is not a release on file for the member.
To change or update a members information at any time, click on the member's name. To log in as the member, instead of as the Group
Administrator (GA), click on the kit number. (use this to order upgrades for your group members)
Family Tree DNA ships all kits on the first business day after an order is placed. If you place an order on Monday, the kit will ship on Tuesday. If you place an order at 10:00pm Friday night, the kit will ship on Monday.
When the test kit is returned to Family Tree DNA, the Password for the kit will be assigned, and will be displayed on your Member page. The date the kit was received will show up for the member in the column titled Kit Back.
The column titled Release should change to Yes for the member when the kit is returned and a Release Form has been signed.
The column titled Paternal Country of Origin should change from blank to a country when the kit is received. The member should have put the Paternal Country of Origin on the release form. If Unknown origin appears in the Origin column, this means that the member did not provide the information. To update this item with the correct information, email info@familytreedna.com with the Kit number, members name, and Paternal Country of Origin, or enter this information from the participants personal page by
clicking on the members page, then the persons kit number to access their personal information.
The column titled Genetic Distance is used after the members results are returned from the lab. When the results have been received for a member from the lab, click on Report in the column Genetic Distance to get a report about the member, which will show their distance from other members of the group. For example, a distance of zero is an exact match, and a distance of 1 is a single step mutation.
4. Group Status: Public or Private
Groups Status is either Public or Private, which are described below. To change the status, send an email to info@FamilyTreeDNA.com
. The information below assumes that the participant signed the release form. If the release form was not signed, then the individual does not participate in the Find command.
Private: When a Group is established, the default setting is Private.
The Private setting means that your participants are not included in the Family Tree DNA Results database and when one attempts to FIND connections they will be limited to people in their surname project. A Find by anyone who is not part of the Group will also not show any results for the Group.
When members of the Group SEARCH the Database of Recent Ethnic Origins (REO) they search the entire REO, since it's an anonymous search.
A Group can be set as Private, and an individual(s) within the Group can be set as Public. The Group will function as Private, and the individual will function as Public.
Public: A Group status of Public means that the group participants will be matched against every person in the database regardless of surname group status. If your DNA is very common and you have ordered the 12 marker test you will potentially receive several matches to people with different surnames. It is recommended that Group Status be set as Private until the Surname study is completed at which time the group 'flag' should be set to Public.
The Find command will show the name and email address for those who match.
It is possible to set a single person from within a group to Public. This is designed for the person who matches no one from within your project.
5. Group Administrator Options
A Group can have either one Administrator, or several who are co-administrators, and have access to the Group Administrator Page (GAP) to perform the tasks. The status of the Group Administrator can change over time. To change the Group Administrator status, the current Group Administrator sends an email to info@FamilyTreeDNA.com
.
A Group Administrator will retire at some point in time, and be succeeded by another individual or co-administrators. It is recommended that a Group Administrator planning to retire find a replacement from within the Group and notify info@FamilyTreeDNA.com
.
6. Advanced Project Management: Merging and Splitting Groups
We recognize that groups and projects change over time. We can perform Advanced Project Management features for you.
These advanced Project Management features are Group Merge and Group Spin Off. To activate either of these features, send an email with directions to info@FamilyTreeDNA.com
.
Group Merge: Group Merge is where two or more existing groups combine into one group. This may occur when a variant of the surname name tests in its own group, and it is discovered that their Haplotype matches another group, and they choose to merge the groups into one. We favor a policy of keeping surname groups together for this reason. We can also add a person to a group if they have tested with us and decide they should join your surname project at a later point in time.
Group Spin off: A Group Spin Off occurs when a subset of the Group is removed from the Group and made into a Group.
